Stop leaking leads: a simple pipeline and follow-up system

Most trainers don't have a lead problem, they have a follow-up problem. Someone comments on a post, sends a DM, or asks about pricing, and then life gets busy, the trainer forgets, and a ready-to-buy person quietly drifts off to someone who followed up. You already paid (in time and content) to generate that interest. A simple pipeline makes sure you actually cash it in.

A pipeline is just knowing where everyone is

You don't need fancy software. A pipeline is a short list of everyone who's shown interest and what stage they're at, so nobody falls through a crack. A simple set of stages:

  • New lead (just reached out)
  • Contacted (you replied, waiting on them)
  • Consult booked
  • Consult done (deciding)
  • Client (won) or Not now (nurture later)

A notebook, a simple spreadsheet, or a basic CRM app all work. The tool doesn't matter. Knowing who's waiting on you does.

Follow up more than once, without being annoying

Here's the uncomfortable truth: most sales happen after the first message, and most trainers give up after it. A "not right now" is rarely a no, it's a not-yet. A gentle, spaced follow-up that references their actual goal (never guilt) recovers a surprising number of clients:

  • Same day: answer their question and offer a clear next step (book a consult).
  • A couple of days later, if quiet: a short, warm nudge tied to their goal.
  • A week later: one more value-add message, then let it rest and move them to "nurture."

This isn't pestering. It's caring enough to not let someone who asked for help disappear because you got busy.

Give follow-up a standing slot

The reason follow-up doesn't happen is that it's nobody's scheduled job. Fix it the same way you fix everything else that matters: put it on the calendar. Reactivate the ones who went cold

Your pipeline also holds gold you've forgotten: leads who never converted and past clients who drifted away. Once a month, send a short, friendly "thinking of you, here's what's new" message to that list. Reactivating an old lead or a lapsed client is far cheaper than finding a new one, and most trainers never do it.
