Talk it, don't type it: an AI content workflow for trainers
A lot of trainers can explain a concept perfectly to a client's face and then freeze the moment they open a blank caption box. If that's you, the problem was never that you have nothing to say. It's that writing is a different skill from talking, and it's the slow part. Here's a workflow that lets you talk your content out loud and use AI to turn it into posts and emails, in your own words.
The workflow, start to finish
- Talk for two minutes. Open your phone's voice recorder and explain one tip the way you'd say it to a client. Don't script it. Just talk, ramble a little, be yourself.
- Turn the talking into text. Use a transcription app (Otter is one, and most phones now do voice-to-text) to get a written version of what you said. You now have a page of your own words without typing a thing.
- Hand it to an AI assistant. Paste the transcript into a tool like ChatGPT or Claude and ask it to shape your words into what you need: "Turn this into an Instagram caption and a short email to my list, in my voice, keeping how I actually said it." The AI does the formatting, not the thinking. The idea and the voice are already yours.
- Edit so it sounds like you. Always read it back and fix anything that sounds generic or stiff. Put your own phrases back in. This last step is what keeps it from sounding like a robot wrote it.
Why this works
Your spoken voice is your real voice, warm, specific, the way your clients already hear you. When you type, you tend to stiffen up and sound like a brochure. Talking first keeps the personality in, and the AI just handles the part you find tedious. You go from a blank box to a finished caption and email in a few minutes, from one two-minute recording.
Keep it yours, not the machine's
A caption that reads like AI wrote it does you no favors, because people can feel it and it breaks trust. Two habits prevent that. First, give the AI examples of how you write so it has your voice to match. Second, always do the final edit yourself and cut anything that sounds like everyone else. The AI is a fast assistant, not your voice. You stay in charge of how it sounds.
